Who I am
Otis Powell, a sole trader, 47c Brownhills Road, Cannock, Staffordshire, WS11 9SE. Contact: otis@otispowell.co.uk. I decide how your details are used, so under UK data protection law I am the "controller".
What I collect and why
- When you email me: your name, email address and what you tell me. I use it to reply and to discuss possible work.
- When you book a call: your name, email and your answers to the booking questions, held by Calendly, the booking service I use, and by Google, because calls use Google Meet and Google Calendar. I use it to arrange and prepare for the call.
- When we work together: contact details, project information and invoices, so that I can do the work and keep proper accounts.
- Visits to this site: this site does not use analytics or advertising. My web host, Vercel, keeps standard server logs, which include your IP address, for security and reliability, and deletes them on its own short schedule.
Business contacts I approach
If I contact an organisation about my services, I collect only a name, job role, work email address and organisation, taken from public sources such as the organisation’s own website, the Charity Commission register or Companies House. I rely on my legitimate interest in finding clients, and I write only to organisations at their business addresses. Reply "no thanks" and I delete your details and do not contact you again. If you do not reply, I delete them within six months.
My legal basis
- Legitimate interests, in replying to enquiries from organisations and arranging calls with them. You can object to this at any time.
- Steps before a contract, where you are contracting with me personally.
- Contract, when we agree work and I need your details to carry it out.
- Legal obligation, for keeping accounting and tax records of paid work.
Who else handles your data
Calendly (bookings), Google (Google Meet and Google Calendar), Vercel (web hosting) and IONOS (domain and email). They process data on my behalf or for their own service, and some may do so outside the UK. Where they do, they rely on safeguards recognised under UK law, such as UK adequacy regulations or the UK addendum to standard contractual clauses. Email me if you want details for a particular provider. I do not sell your data.
How long I keep it
- Enquiry emails and call notes that do not lead to work: deleted after 12 months.
- Booking records in my Calendly account: removed within 12 months. Calendly and Google also keep records under their own policies.
- Records of paid work, including invoices: five years after the 31 January self assessment deadline for the tax year concerned, as tax law requires, then deleted.
Your rights
You can ask me to give you a copy of your data, correct it, delete it, restrict how I use it, or send it to you in a portable format. You can object to my use of it, and withdraw consent where I rely on consent. These rights apply in the circumstances set out in the law. Email otis@otispowell.co.uk and I will reply within one month. If you are unhappy, you can complain to the Information Commissioner's Office at ico.org.uk.
